Client has several automated service models that have been deployed that are tied to Communications letters. They cannot delete the letters in Communications because it is tied to an automated service model. The automated service model is no longer being used but they cannot “undeploy” it or delete the automated service model which would allow them to delete the Communication letters.

 Clients need the ability to “undeploy” or delete an automated service model. 

 Similar to a process model clients need the ability to ‘undeploy’ or delete and Automated Service Model.  The obsolete service model prevents the client from deleting letters that are no longer needed in the Communications tool. 

 The client no longer needs the letters and are not able to clean them up.  If the service model is not being used, we do not need to keep it on the system.  An end user could select the letter even though they are no longer valid and send an incorrect letter.  It also slows down productivity by having to look through letters that are no longer needed.

I was curious . Are you referring about the cloud  offering related to ALM (Automate life cycle management)?​

Mogulluri, this has nothing to do with Automate Live Cycle management.  It has to do with the Chorus Communications product.  (A product that allows end users to write letters for shareowners and dealers in Mutual Funds.)

Please confirm that there are two requirements included in this request. 
  • "deprecate" a service so that it is no longer available for selection in Design Studio. 
  • "deprecate" a letter composition so that it is no longer available for selection from the Design Studio Communications external form.

Karen, that is how I understand it.  We would need to deprecated the service and deprecate the letter so it isn't available any longer to be selected to use.  If it had been used in the past and is still on an account then those copies need to stay.

As part of our ongoing model management initiative, we have introduced functionality that should allow you to better manage letters that are no longer in use.  

  1. From Design Studio, you can deprecate a service that is no longer used by another model so it is no longer available for the designer to select.
  2. From Communications Admin, we introduced a report that will cross reference all services using communications integration so you can review those designs and remove any literal references to specific letters.  
  3. From Communications Admin, you might consider using one or both of the following options to manage the list of available letters for a user
    • Create a category within the client for deprecated or obsolete letters to differentiate them for selection
    • Create a child client for deprecated or obsolete letters and grant permission only to content administrators

I'm going to close this idea as delivered with the new functionality introduced above but note that modernizing communications administration is in our priority backlog and if there are additional requirements improve composition and content management usage please add them and assign them to the Communications category.
